Templates are pre-designed files that you or somebody else (such as Microsoft) creates to use as a blueprint for a job. The template could be for a business card, brochure, resume, presentation. . .the list continues. Regardless of the purpose, templates offer the design consistency which any organization (or individual) needs to appear professional. (You can also find templates for Excel, PowerPoint, and other programs, but in this article we are focusing on Microsoft Word.)
The template includes a particular design, style, design and, occasionally, fields and text which are common to every use of the template. Some templates are so complete (such as business cards), you merely need to alter somebody’s name, phone number, and email address. Others, like company reports or brochures, could require that everything is changed except the layout and design.
As soon as you make a template, you can use it repeatedly. Remember that while you open a template to start a project, you save the job as another file type, such as the basic .docx Word format, for editing, printing, sharing, and much more. The template file remains the same, unless or until you want to alter it (more on this later).
Custom templates can be as simple or complicated as needed. By way of example, you might create a template for your organization’s newsletter, posters for a seminar, or even invitations for corporate occasions. You can also produce interactive templates to load on the Intranet, so others may fill in the blanks to print their own envelopes and letterhead, as an example.
To begin with, produce a record –layout and format it, add graphics and photographs. When it’s interactive, then select Controls from the Developer tab and create custom input fields for user interaction.
Some templates use interactive controls for user input. For example, imagine that once a month, the branch managers, assistant managers, and loan originators of a large banking institution have a meeting at one of the 12 branches. It’s your assistant’s job to email the date, time, location, speakers, themes, and agenda to each attendee. Instead of having that person retype the data at a normal template, you may create a template in which options can be selected from a listing.
Programs let you configure all of the relevant settings you want pre-applied to files –page design, styles, formatting, tabs, boilerplate text, etc. You may then easily make a new file based on that template.
After you save a document as a template, then you can then use that template to create new documents. Those new files contain all the text (and images, and other articles ) that the template contains. They also have all the same page layout settings, segments, and fashions as the template. Templates can save a great deal of time when you are creating numerous files that have to have a consistent design, format, and some boilerplate text.
