Templates are pre-designed documents that you or someone else (like Microsoft) creates to use as a blueprint for a project. The template may be for a business card, brochure, resume, presentation. . .the list goes on. Regardless of the purpose, templates provide the design consistency which any organization (or person ) needs to appear professional. (You can also find templates for Excel, PowerPoint, and other applications, but in this guide we’re focusing on Microsoft Word.)
The template includes a specific layout, style, design and, sometimes, fields and text that are common to each use of the template. Some templates are so complete (such as business cards), you merely have to alter somebody’s name, phone number, and email address. Others, like business reports or brochures, could demand that everything is altered except the design and layout.
Once you create a template, then you can use it repeatedly. Remember that while you start a template to start a project, you save the job as another file type, such as the simple .docx Word format, for editing, sharing, printing, and more. The template file stays the same, unless or until you wish to alter it (more on that later).
Custom templates can be as straightforward or complex as needed. By way of example, you might create a template for your organization’s newsletter, posters for a seminar, or even invitations for corporate occasions. You can even create interactive templates to load the Intranet, so others can fill in the blanks to publish their own envelopes and letterhead, as an example.
To begin with, produce a record –design and format it, add graphics and photos. If it’s interactive, then select Controls in the Developer tab and make custom input fields for user interaction.
Some templates use interactive controls for user input. By way of example, imagine that after a month, the division managers, assistant managers, and loan originators of a large banking institution have a meeting at one of the 12 branches. It’s your helper’s job to email the date, time, place, speakers, themes, and agenda to every attendee. Instead of having that person retype the information in a regular template, you can create a template where options can be selected from a listing.
Templates allow you to configure all of the relevant settings you want pre-applied to documents–webpage design, styles, formatting, tabs, boilerplate text, and so on. You can then easily create a new document based on that template.
When you save a document as a template, you may then use that template to make new files. Those new files contain all of the text (and images, and other content) that the template contains. They also have the same page layout settings, segments, and styles as the template. Templates can save you a great deal of time when you are creating multiple documents which have to have a consistent design, format, and some boilerplate text.
