Templates are pre-designed documents that you or someone else (such as Microsoft) generates to use as a blueprint for a project. The template may be for a business card, brochure, resume, presentation. . .the list goes on. Regardless of the purpose, templates provide the design consistency that any organization (or person ) needs to look professional. (you could also find templates for Excel, PowerPoint, and other applications, but in this article we are focusing on Microsoft Word.)
The template contains a particular design, style, layout and, occasionally, text and fields that are common to every use of that template. Some templates are really complete (for instance, business cards), you only need to alter somebody’s name, contact number, and email address. Others, such as business reports or brochures, could demand that everything is changed except the design and layout.
Once you make a template, you can use it over and over. Bear in mind that while you open a template to start a project, you save the job as a different file type, like the simple .docx Word structure, such as editing, sharing, printing, and much more. The template file stays the same, unless or until you wish to alter it (more on that later).
Custom templates can be as simple or complicated as needed. For instance, you might create a template for your organization’s newsletter, posters for a seminar, or even invitations for corporate occasions. You can even create interactive templates to load on the Intranet, so others can fill in the blanks to print their own envelopes and letterhead, for instance.
To begin with, create a document–layout and format it, add graphics and photos. If it’s interactive, then pick Controls in the Developer tab and make custom input fields for user interaction.
Some templates use interactive controls for user input. For instance, imagine that once a month, the branch managers, assistant managers, and loan originators of a large banking institution have a meeting at one of the 12 branches. It’s your helper’s job to email the date, time, place, speakers, themes, and the agenda to every attendee. Rather than having that person retype the information in a normal template, you can create a template where options can be selected from a listing.
Templates let you configure all of the relevant settings you need pre-applied to documents–page design, styles, formatting, tabs, boilerplate text, etc. You can then easily make a new document based on that template.
When you save a document as a template, then you may then use that template to make new files. Those new files include all of the text (and images( and other content) that the template contains. They also have the same page layout settings, sections, and styles as the template. Templates can save a lot of time when you are creating numerous files that need to have a consistent layout, format, and a few boilerplate text.
